Who we are
RaceShots is a race photography platform operated by AllansonMedia that allows photographers to upload event media and athletes to find and purchase their own photos and videos. References to "we", "us", or "RaceShots" refer to AllansonMedia, operator of raceshots.co.uk.
What data we collect
When you make a purchase, we collect your email address (provided during Stripe checkout) and your bib number and race selection. We store a record of your order in our database, including the Stripe session ID, bundle purchased, amount paid, and fulfilment status. We do not collect or store payment card details — these are handled entirely by Stripe.
How we use your data
Your email address is used to send you a confirmation email containing your download links. We do not use your data for marketing, and we do not share it with third parties other than as described in this policy.
Third-party services
We use Stripe for payment processing. Stripe's privacy policy is available at stripe.com/privacy. We use Resend to send transactional emails. File storage is provided by Cloudflare R2. Our database is hosted on Neon. All data is stored and processed in the European Economic Area or United Kingdom.
Data retention
Order records are retained for a minimum of seven years for legal and accounting purposes. If you wish to request deletion of your personal data, contact us at the address below. Note that we are required to retain financial records for the statutory period regardless of deletion requests.
Cookies
RaceShots does not use tracking or advertising cookies. The only cookies used are strictly necessary for authentication and security purposes. We do not use analytics tools that track individual users across sessions.
Your rights (UK GDPR)
You have the right to access the personal data we hold about you, request correction or deletion, object to processing, and lodge a complaint with the Information Commissioner's Office (ico.org.uk).
Terms of sale
All purchases are final. Because digital files are delivered immediately upon payment, we do not offer refunds as standard. If you experience a technical fault with your files, contact us and we will resolve it. We reserve the right to refuse or cancel orders at our discretion.
Season pass terms
The Season Pass covers all photos and videos taken of the registered bib number at each round of the specified series. Access is granted per round as media becomes available after each event. Rounds that are cancelled are excluded from the pass. If fewer than three rounds take place, we will discuss a partial refund on a case-by-case basis. The pass is non-transferable and linked to the purchasing account. Sales are strictly limited to the advertised window and cannot be purchased after it closes.
Intellectual property
All photographs and videos on RaceShots are the copyright of AllansonMedia. Purchase of a bundle grants you a personal, non-commercial licence to use and download your own images. You may not resell, redistribute, or publish the images commercially without written permission.
Limitation of liability
RaceShots and AllansonMedia are not liable for any indirect or consequential losses arising from use of this platform. Our total liability for any claim shall not exceed the amount paid for the relevant order.
Governing law
These terms are governed by the laws of England and Wales. Any disputes shall be subject to the exclusive jurisdiction of the courts of England and Wales.
